The principle
Every document the agent handles gets a light, like a traffic light at a junction. That light is never picked at random, nor on the AI's hunch: it follows from the rules you have approved. And the most cautious light wins: if a single check calls for a review, the document waits for a person.
Green: the agent acts alone
All your rules pass. The agent does the work without disturbing anyone, and keeps a record of what it did.
Example: an invoice from a known supplier whose net amount, VAT and total add up.
Amber: your team checks
Something is out of the ordinary. The agent doesn't guess: it raises its hand, prepares the file, and a member of your team checks it in one click.
Examples: a new supplier, an account code to confirm, a layout that has changed.
Red: you decide
Some situations always call for a human decision, whatever the rules. Here, the agent stops and hands control to you.
Examples: an amount above the threshold you have set, an invoice that looks like a duplicate.
Who chooses the colours?
You do. During set-up, you review the rules one by one and decide on their light. At first, many cases go amber: that's normal, the agent is learning. Every correction your team approves becomes a new rule, and green gains ground, at your pace.
